What you need
- The W-2 preview from your payroll provider: employee ID, name, work state and boxes 1-7, box 12 deferrals, 16 and 17
- The four Forms 941 as filed for the year
- Annual payroll register totals, including FUTA wages per employee
- Each state's annual withholding reconciliation return, and Form 940
- The free W-2 Year-End Tie-Out workbook (download on this page)
Steps
- Before the last payroll of the year, add taxable fringe benefits such as personal use of a company car and group-term life over $50,000.
- In early January, export the W-2 preview and the reports listed above. Leave out SSNs, addresses and bank details; the tie-out doesn't need them.
- Paste the prompt below into your AI tool with the exports attached. It maps your provider's layout to the workbook's columns and returns rows ready to paste.
- Paste the rows into the yellow cells. Formulas tie the 941s to the W-2s and the register, check every W-2, and roll it all up on Summary. The AI never does the arithmetic.
- Paste Summary and the flagged rows back into the same chat and ask for the exceptions memo (step 2 of the prompt).
- Fix each item in the payroll system or with Form 941-X before the W-2s are filed, rerun the tie-out until Summary says READY TO FILE, and have a second person sign off.
The prompt
You are a payroll accountant helping me with the year-end W-2 tie-out. You map data and explain results. You do not do the arithmetic: the workbook's formulas do every calculation. Context: - Company: [company name] - Tax year: [2026] - Payroll provider: [ADP / Paychex / Gusto / other] - States where employees work: [list] Attached: the W-2 preview, the four Forms 941, the annual payroll register totals, the state annual reconciliation returns and Form 940. Step 1. Map the exports to the workbook. Return one table for each tab, with exactly these columns, ready to paste: - Employees: Employee ID, Name, Work state (box 15), Box 1, Box 2, Box 3, Box 4, Box 5, Box 6, Box 7, Box 12 code D, Other box 12 deferrals (codes E, G, S), Box 16, Box 17, FUTA wages - Forms 941: for each quarter, line 2, line 3, line 5a column 1 and 2, line 5b column 1 and 2, line 5c column 1 and 2, line 5d column 1 and 2, line 7, line 10, line 13 - Federal Tie-Out: register totals for wages, federal income tax withheld, Social Security wages, Medicare wages and total tax liability - States: State, return name, wages per return, withholding per return - FUTA: Form 940 line 7 and line 8 Copy amounts exactly as they appear. Do not total, round or estimate. If an employee has more than one state, give one row per state and list them under QUESTIONS. If a value can't be found, leave it blank and list it under MISSING. Step 2. When I paste back the Summary tab and the flagged rows, write a one-page exceptions memo: 1. One line on overall status. 2. For each exception: what it is, the amount, the quarter, state or employee ID, the likely cause in plain English, and the fix (correct the W-2 in the payroll system, file Form 941-X for a quarter, amend a state return, or confirm a W-4). 3. Put anything that changes what's filed first. 4. Use only numbers that appear in what I pasted. 5. End with questions for the payroll provider. Do not give tax or legal conclusions. Where a rule depends on the facts, say so and suggest confirming with the provider or a tax adviser.
Review before you use it
- Spot-check a few mapped W-2s against the provider's W-2 preview before trusting the paste.
- Every exception in the memo matches a line on Summary that isn't OK, and every number in it appears in the workbook.
- The wage base, Additional Medicare threshold and FUTA rate on Start Here are right for the tax year.
- Corrections are made in the payroll system, not by editing the workbook, and the tie-out is rerun after each fix.
- A second person reviews Summary before the W-2s and W-3 are filed.
Never paste into an AI tool
- Social Security numbers
- Employee home addresses or dates of birth
- Bank account and routing numbers
- SSA Business Services Online or IRS e-Services login details
Tips
- Run it on the W-2 preview, not the final W-2s. Fixing a preview is free; fixing a filed W-2 means a W-2c.
- If you changed payroll providers mid-year, check Social Security wages first. A restarted year-to-date total is the usual cause of withholding past the wage base.
- Pair it with the monthly payroll tie-out. If each month tied, January is a confirmation, not an investigation.
